There are now hundreds of paid AI tools chasing small business budgets. Most people only need one or two. Here is how to work out which.
Every week there is a new tool promising to run your entire business. Almost nobody needs more than a small stack, and buying tools before you know the job usually means paying for three overlapping subscriptions that all do the same thing slightly differently.
The tools split roughly into three kinds, and the right one depends entirely on what you are actually trying to do, not which one has the best marketing.
A general AI chat subscription (ChatGPT, Claude, and similar) is for writing, thinking things through, and one-off questions where a person is at the keyboard the whole time. If the job is "help me think" or "help me write," this is the right and cheapest category, and you likely only need one.
A purpose built tool exists for one specific job, done constantly, where a dedicated product beats a general one. Social media scheduling, video editing from long footage, invoicing and bookkeeping software are the classic examples. If a category of tool already exists for exactly your problem, and hundreds of people are improving it, it will usually beat a general AI tool or a custom build on that one job.
Automation platforms (things like Zapier, Make, or n8n) connect the systems you already use, so information moves between them without anyone retyping it. This is the right category once the job is "get system A to talk to system B," not "help a person write or think."
Ask what the job actually is. If a person is doing the thinking or writing and just wants it faster, that is a general subscription. If the exact task already has a well known tool built for it, buy that tool rather than trying to recreate it with AI from scratch. If the job is really about moving data between two systems you already pay for, that is automation, and worth checking whether your existing tools already connect natively before adding another subscription on top.
Paying for a new tool to do something your existing software already does, just switched off. Xero, MYOB, HubSpot, Shopify and Microsoft 365 all have features most businesses never turn on. Before adding a new line to the subscription list, it is worth ten minutes checking what you are already paying for.
If none of the existing categories quite fit, because the job has judgement or messy exceptions baked into the middle of it, or it genuinely needs to run inside your own systems the way no off the shelf tool does, that is when a proper scope of works is worth getting rather than trying yet another subscription.
