Five jobs people bring us that do not need AI

Penny can give eight answers. Five of them end with no build at all, and they are the five we hand out most often.

Most of this market gets paid when you buy a build. Penny is software and is not paid on the build, so she can say the unpopular thing: most of what lands in front of us should not be built.

Here are the five no-build verdicts, exactly as the check gives them, with what people actually ask for and what we tell them to do instead.

1. Leave it alone for now

What people ask for. A small, annoying task. Copying six numbers across on a Friday, renaming files, chasing one form. It has irritated them for years, so it feels like a big problem.

Why a build is the wrong answer. Do the sums and it is twenty minutes a fortnight. Under about 40 hours a year, the time this takes back does not justify building anything yet. You would spend thousands to recover a few hundred dollars of labour, and then pay to run it every month on top.

What to do instead. Keep a tally for a month. Write down every time you do it and how long it took. If it grows, come back and we will run the numbers again with real figures instead of a feeling.

2. Fix the process first

What people ask for. "Can AI handle our onboarding." Then you ask three people in the business how onboarding works and you get three different answers, all of them confident.

Why a build is the wrong answer. The way this gets done changes too much to automate reliably. Software cannot settle an argument about what the process should be. Build on top of a disagreement and you get an expensive system that half the team works around, which is worse than the spreadsheet you started with.

What to do instead. Write down the steps everyone agrees on. Run it that way for a fortnight. If it holds, come back, and the quote you get will be cheaper and firmer because the builders are pricing one process instead of guessing at three.

3. Use what you already pay for

What people ask for. Automatic invoice reminders. A dashboard of weekly sales. Quotes that turn into invoices without retyping. Reasonable things, all of them.

Why a build is the wrong answer. Xero, MYOB, HubSpot, Shopify and Microsoft 365 already do a great deal of this, and most businesses are paying for features they have never switched on. Paying a builder to recreate a setting is the most avoidable money in this whole market.

What to do instead. List your must-haves, then test your current tools against that list before paying anyone for anything. Check the native integrations too. Half the "we need a build" jobs we see are two products that already connect, with nobody having turned the connection on.

4. A general AI tool is probably enough

What people ask for. Something to draft replies, summarise long documents, tidy up writing, or turn rough notes into something a client can read.

Why a build is the wrong answer. This is a person doing language work, not a system that has to run on its own at 2am. When somebody is sitting there anyway, and the volume is modest, a custom build adds cost and fragility without adding much. You are paying for integration you do not need.

What to do instead. Buy a paid ChatGPT or Claude subscription, write a few good prompts down so the whole team uses the same ones, and keep a person checking the output. If volume climbs later, or it has to run without anyone watching, that is a different job and worth checking again.

5. Buy the tool, do not build it

What people ask for. A custom social media pipeline. A system that cuts long video into clips, captions them and schedules them. Booking and reminders for a one-person service business.

Why a build is the wrong answer. There are off the shelf products that do these jobs well for a monthly fee, and they have hundreds of people improving them. A custom build starts behind and falls further behind every month, and you carry the maintenance. Social and video are the two categories where this verdict comes up most.

What to do instead. Subscribe to one of the established tools and give it a fair trial with your real work. Only look at a build if the tool genuinely cannot do a thing you must have, and you are running at a volume where the difference is worth thousands.

There is a sixth answer that is not a build either

If the job would decide or rank people, or affect someone's rights, safety or livelihood, the check stops. Hiring, credit, health, legal matters, visas, who gets a place. That work carries obligations we will not scope automatically, and the right next step is an adviser who knows those obligations, not a builder.

Why we are willing to say all this

The check and the verdict are free. The scope of works is A$149 including GST, and free right now while the first Australian AI Builders are being signed up. Getting quotes is free, and you never pay AI Builds anything.

So we earn nothing from the five answers above. We publish them anyway, because the fastest way to lose an Australian small business owner is to sell them a build they did not need and watch it sit there.
